Channels
Everything that reaches your business, answered
Each channel arrives in its own way and each has its trap: the call you can't pick up, the 11 pm voice note, the email left unopened. Here is how Recepciona handles each one.
How does Recepciona answer your business's calls?
Recepciona picks up in your business's name, explains guide prices, lead times and availability, and books the appointment if it can be booked. Anything outside the profile is noted and referred to you before committing to anything.
The call is the main channel and the one most often lost. When it rings and you can't pick up, forwarding brings it to Recepciona. The person answering has your profile to hand: they know what you do, what you charge as a guide and when you have a slot. If the customer wants an appointment, it's booked. If they ask for something needing your judgement, they're told we'll get back to them shortly, you're asked and it's closed with your answer.
Emergencies you have flagged as such are passed to you immediately. The rest you find logged, with who called, what they wanted and what was done.
What does Recepciona do with your customers' WhatsApp messages?
Recepciona replies to the messages, voice notes and photos your customers send on WhatsApp in your tone and with your guide prices, and turns the conversation into an appointment or a logged enquiry.
WhatsApp keeps its own hours: the customer's. It arrives when they finish work, park the car or finally sit down. If the reply comes the next morning, they've often already asked elsewhere. Recepciona replies with your profile to hand and offers real slots from your diary.
Photos of the fault or the job are saved with the conversation so you can see them before the appointment. And if the customer asks for something outside the profile, they're told we'll check, you're asked and it's closed.
How does Recepciona handle email?
Recepciona sorts what arrives in your business inbox, answers the requests that have an answer in your profile and passes you those needing your judgement.
Email doesn't ring, so it stays unopened. Quote requests waiting for days, confirmations nobody sends, a customer asking about their invoice. Recepciona checks the inbox, answers what's in the profile and passes you the rest with a summary: what they want, when, and what's missing to be able to reply.
What does Recepciona do with insurer and fleet platforms?
For garages, Recepciona collects the requests insurers and fleets post on their platforms, logs them in Programa Taller and alerts you to deadlines and missing documents.
Insurer platforms have their own deadlines and penalise garages that don't respond in time. The problem is someone has to log in and check them, and the person who should is under a car. Recepciona checks the agreed platforms, logs every request with its deadline and alerts you to what's missing: photos, quote, approval. With the Programa Taller integration, the request comes in with its customer and vehicle already attached.
How does Recepciona book appointments in your diary?
Recepciona offers real slots from your diary, confirms the appointment with the customer, sends the reminder and handles changes and cancellations.
A badly booked appointment is worse than none: the customer who turns up when there's no slot, or the slot left empty because nobody sent a reminder. That's why appointments are offered with your diary to hand, confirmed and reminded. If the customer changes or cancels, it's handled and the slot becomes available again.
What does the after-sales Recepciona handles include?
Recepciona tells the customer when the job is ready, answers follow-up questions and collects their review at the right moment.
After-sales is the part of the service almost nobody has time for and the one that builds most loyalty. The “it's ready” message, the answer to the next-day question and the review request when the customer is happy. Recepciona does it on your terms and logs it, so the next contact with that customer starts with the whole history to hand.
Which channel slips through most?
Start with that one. The rest can be added whenever you like, without changing number or installing anything.
