How it works

How Recepciona works, step by step

Four steps between first contact and the first day with your phone covered. No hardware, no switchboard and no change of number for your customers to notice.

The process

How does Recepciona get started?

What we do and what we need from you at each step.

  1. 01

You tell us about your case

What you do, how customers reach you and what slips through. With that we tell you which plan fits and how we start.

  2. 02

    We prepare your business profile

Services, guide prices, hours, diary slots, tone and frequent questions. Also what gets decided without you and what gets referred.

  3. 03

    We connect the channels

You forward your number with your carrier and we set up WhatsApp, email and, if you're a garage, insurer platforms and Programa Taller.

  4. 04

    We start answering

From day one every enquiry is logged. We review the first week with you and adjust the profile with whatever came up.

What is the business profile and why does it matter so much?

The business profile is the document Recepciona uses to answer in your name: services, guide prices, hours, diary slots, tone and decision rules. It is what allows us to answer as you would instead of taking a message.

Most calls a small business receives are alike: how much, when can you, where are you, how long does it take. The profile captures those answers exactly as you give them. We also note what you don't do, so nobody books you a job you don't want, and the urgency signals you want passed to you immediately.

When something changes, the profile changes. You raise your labour rate, close for two weeks in August, stop offering a service: you tell us on the agreed channel and from that moment we answer with the new information.

How is the phone forwarded to Recepciona?

Forwarding is activated with your phone carrier, in minutes and with nothing to install. You can forward always, only out of hours, or only when you don't answer after a few rings.

Your customers keep calling the same number. The only thing that changes is who picks up when you can't. Conditional forwarding is the most common among freelancers: if you pick up, you answer; if not, Recepciona does. Garages usually prefer full forwarding during working hours so the workshop isn't interrupted, with WhatsApp covered at night too.

If a customer asks to speak to you directly, it's noted, passed to you and they get a call back when you can. Nobody is left without an answer.

What happens on the first day and in the first week?

On day one we already answer using your profile, and in the first week we review everything handled with you to adjust prices, answers and rules.

No profile is born complete. In the first week the questions we hadn't noted and the situations we hadn't foreseen appear. That's why we review it together: what was asked, what was answered, what was referred to you and what we could have resolved without bothering you. The profile grows, and in the following weeks you are asked less and less.

From there you set the pace. Every enquiry is logged in your software or the agreed summary, and you can see how everything lands in Programa Taller if you run a garage.

Questions about the process

Questions about getting started

How long does it take to start with Recepciona?

As long as it takes to prepare the business profile and activate forwarding, normally a matter of days from when you give us the go-ahead. There is no installation or equipment.

Do I have to change my phone number?

No. You forward your current number with your carrier. Your customers keep calling the same number and you can remove the forwarding whenever you want.

Can I start with calls only and add WhatsApp later?

Yes. Channels are activated separately. Many businesses start with missed calls and add WhatsApp or email once they see how it works.

Who keeps the business profile up to date?

You tell us what changes and we update it the same day. We also review it with you in the first week and whenever something new comes up.

Shall we start with your business profile?

Tell us how your customers reach you and we'll explain how we would handle them.
